Office Administrator - Houston, TX

Overview

The Office Administrator position will provide overall support and coordinate daily company activities independently and based upon provided instruction. The person fulfilling this role must be very high character, work ethic, trustworthy, detail oriented and able to multi-task.

Essential Qualifications

Education

• Completed Associates Degree or higher in Business Administration from an accredited college or school

• At least 5 years of experience working in a business environment

 

Experience

• At least 5 years of business administration and management.

• Technical writing

 

Prioritized Essential Functions

Office Support

• Provide administrative support to team members

• Perform monthly office inventory and shopping

• Ensure office is clean and organized at all times

• Ensure all office equipment is functioning (printer, refrigerator, coffee machine, etc.)

• Assist in performing data research and preparing spreadsheets

• Perform data entry, analysis and clean-up

• Taking meeting minutes

• Prepare mailings and mail items

• Run errands for office business

• Others duties as required

 

Inside Sales Support

• Performing research to identify new targeted prospects based upon various criteria

• Preparing, scrubbing and maintaining prospecting list

• Perform initial cold calls to validate numbers, introduce company and validate leads

• Assist in making outside appointments for Sales Representative

• Prepare sales presentation folders for sales meetings

 

Projects

• Perform proof reading of documentation, such as procedures and audit reports

• Make client service and customer satisfaction calls

• Maintain client project schedules

• Request certification quotes from certification bodies

• Assist with project administration and ensuring project are completed in a timely manner

• Assist with various project, as required

 

Documentation Support

• Be or become knowledgeable on various management systems, such as ISO 9001, API Spec Q1\ Q2, ISO 17025, ISO 14001, AS9100, ISO 27001, ISO\TS 16949 and ISO 22000

• Assist with maintaining base template documents for use internally, client projects and audits, and ensure they meet the requirements of applicable management system standards

• Update base template documents when standards are revised

• Customizing base designs for client management system documentation, such as system manuals, policies, procedures, forms, etc. based upon The ISO 9001 Group requirements and applicable management system standards

 

Training Courses

• Assist with training course design and development

• Ensure conformance and compliance with training accreditation program (IACET)

• Set up facility for public training sessions

• Prepare and ship training materials for courses

• Maintain training course records

 

Web Application Support

• Provide support to users emailing and calling regarding questions and concerns

• Enter user complaints, concerns into ticket system and follow through on closure

• Work and coordination with software developers to address software design issues
